Role Overview
We are looking for a proactive bilingual Office Administrator & Secretary to primarily support our Sydney team, covering cross-regional daily operations. This position integrates procurement, office facility management and full-spectrum secretarial work to ensure seamless business running and deliver comprehensive executive support. Candidates with solid administration or HR working experience are highly preferred.
Core Responsibilities
- Conduct vendor sourcing, purchasing affairs and contract negotiation for procurement matters
- Coordinate office facility maintenance, daily supplies management and workplace safety arrangements
- Handle executive schedules, overseas travel arrangements (including New Zealand business trips), meeting preparations and official correspondence
- Provide end-to-end administrative support to senior management, including document sorting and work progress follow-up
- Assist in planning and implementing office relocation projects
- Act as cross-liaison between English and Chinese-speaking internal and external parties
- Optimize daily working procedures to boost overall operational efficiency
Job Requirements
- Possess no less than 2 years relevant working experience in procurement and office facility administration
- Bachelor’s degree in Business Administration, Management or related majors
- Fully fluent in spoken and written English and Mandarin
- Outstanding organisation skills, multi-tasking capability and interpersonal communication skills
- Able to travel to New Zealand for work assignments when needed
- Prior experience in office relocation projects is a definite advantage
