Leading_HK_Bank: Administrative Assistant (up to 25K, 12 month contract)

The Bank’s Global Banking business provides a broad spectrum of financing solutions to large corporations and financial institutions. As a strategic financial partner to corporate customers, The Bank offers a comprehensive range of products and services including bilateral and syndication loans, project financing, property development financing, property investment loans, working capital financing, trade financing, cash management and treasury products.
Responsibilities:
Deliver efficient and high quality (i) daily department management support and (ii) executive support to leadership, and (iii) general administrative support.
Daily Department Management Support:
- Manage finance processing and reimbursement of departmental expenses, maintenance and preparation of gift and entertainment entries in systems to meet Group requirements;
- Provide support on other finance related tasks;
- Arrange on/off-boarding of new team members/leavers, manage and maintain relevant records for reviewing purpose;
- Provide general office administration support to maintain efficient and proper working environment, e.g. management of office supplies, coordinating with Facilities Management on office arrangement, liaise with internal stakeholders and external vendors to manage services subscription etc.
- Act as the sharepoint administrator to update contents/grant access to users in a timely matter, coordinate with IT team on the management of share drive access;
- Coordinate team activities, events, meetings and managing internal and external stakeholders; and
- Provide support on ad hoc projects across HR, Learning, Risk & Control, Business Continuity, Facility Management and others.
- Executive support to the department leadership:
- Provide executive support to the Department Head, and back-up other executive secretaries during leaves of absence;
- Provide support to team heads as required.
Generic Administrative Support:
- Handle incoming and outgoing correspondence, including emails, mail, and courier services;
- Maintain and update filing systems, both electronic and physical, ensuring records are accurate and easily retrievable;
- Assist in the preparation of reports, presentations, and other documents as required.
- Monitor and order office supplies to ensure adequate stock levels;
- Assist with document management, photocopying, scanning, and printing tasks as needed;
- Maintain effective and efficient communication within the Bank
- Coordinate and work with other assistants across the Bank
- Provide any ad-hoc administrative support as required
Requirements:
- Diploma Holder or above, Degree holder preferred
- Relevant solid experience in sizable organizations, experience in financial services will be an advantage
- Thorough attention to details, strong organisational skills with ability to work independently and under pressure
- Strong verbal and written communication skills in both English and Chinese
- Strong interpersonal skills with ability to accommodate personal styles to different situations
- Positive attitude with great sense of ownership and responsibility
- Team player and demonstrate high levels of emotional intelligence
- Proficiency in Microsoft office applications
