Our client is a fast-growing international financial institution and asset management firm with subsidiaries across Australia, Hong Kong and Singapore. The appointed candidate will report directly to the Hong Kong CEO and regional Head of HR based in Singapore. You will take full ownership of end-to-end HR and administrative operations for the Hong Kong office, support cross-regional HR policy alignment, ensure full local statutory compliance, manage full-cycle recruitment and oversee daily office management.
Key Responsibilities
Human Resources
- Deliver full-cycle recruitment support for Hong Kong vacancies, including job posting, CV screening, interview coordination and new hire onboarding arrangements
- Administer payroll-related tasks such as preparing and distributing payslips, maintaining leave records, and coordinating with Singapore HR team or payroll vendors as required
- Oversee all leave matters (annual, sick, maternity/paternity and other statutory leaves) to ensure full compliance with the Employment Ordinance and internal company policies
- Maintain accurate, confidential physical and digital employee records, employment contracts and HR files in line with regulatory requirements
- Support employee relations matters and act as the first point of contact for staff enquiries regarding HR policies, benefits and employment terms
- Ensure ongoing compliance with Hong Kong labour legislation, MPF obligations and all statutory requirements; escalate complex issues to Singapore HR or external consultants when necessary
- Assist with performance management cycles, probation reviews and employee exit procedures
- Liaise closely with the Singapore HR team to align group-wide policies, reporting, headcount updates and all cross-border employment matters
Office Administration
- Oversee daily office operations covering stationery stock, vendor management, facility maintenance and general ad-hoc administrative support
- Manage office calendar, meeting room bookings, and coordinate internal & external meetings and visitor arrangements
- Handle incoming & outgoing correspondence, document filing, and arrange basic business travel or logistics as needed
- Support new joiner logistics including IT access coordination, workspace setup and welcome pack preparation, alongside other ad-hoc administrative assignments
- Uphold a professional, organised and efficient office environment to support the daily workflow of the team
Job Requirements
- Bachelor’s degree in Human Resources, Business Administration or related disciplines is preferred
- Minimum 5 to 8 years of solid relevant experience in human resources and/or office administration, ideally gained within professional services, financial services or multi-location operational environments
- Sound comprehensive knowledge of Hong Kong’s Employment Ordinance, Mandatory Provident Fund (MPF) schemes and other relevant labour regulations
- Proven hands-on experience covering recruitment support, leave administration, payroll coordination and employee record management
- Strong organisational skills with the capability to prioritise tasks independently and concurrently handle both HR and administrative workloads
- Excellent interpersonal and communication capabilities, able to liaise effectively with colleagues based in Singapore and other overseas offices
- High level of discretion and integrity when handling confidential employee personal data
- Proficient across the full Microsoft Office suite (Word, Excel, Outlook, PowerPoint); prior experience using HRIS or payroll systems is highly preferred
- Fluent in English; proficiency in both Cantonese and Mandarin is a strong advantage given the Hong Kong working environment
