Key Responsibilities

  • Support day-to-day company operations including administrative coordination and office workflow management.
  • Assist the Chairman with scheduling, document preparation, and follow-ups
  • Coordinate meeting arrangements, prepare agendas/minutes, and ensure meeting materials are properly compiled and distributed.
  • Support compliance-related administrative tasks, especially related to incorporated bodies / legal entities (e.g., preparation and organization for formal meetings).
  • Liaise with internal teams and external parties (e.g., vendors, service providers, clients) to ensure timely execution of admin-related requests.
  • Perform other ad-hoc administrative duties as assigned by the supervisor.

Requirements

  • Strong experience in meeting administration for incorporated bodies / legal entities (e.g., having hands-on experience in arranging and handling meetings, including agenda/minutes or related documentation).
  • Fluent Cantonese and English (spoken and written).
  • Proven ability to handle executive-level administrative support with professionalism and confidentiality.
  • Strong organization, attention to detail, and ability to work under time pressure.
  • Proficient in MS Office (Word, Excel, PowerPoint) and comfortable working with documents and spreadsheets.
