Responsibilities:

  • Efficiently and accurately handle all document and data requests from Law Enforcement Agencies (e.g., Police Force, ICAC, Customs & Excise, SFC), other regulators, and government departments, ensuring full compliance with legal and regulatory mandates.
  • Perform extensive and meticulous document retrieval from internal systems for all incoming inquiries.
  • Prepare and mail Bank Confirmation Documents to auditors.
  • Process customer requests for record retrieval and prepare corresponding mailings.
  • Conduct though data scanning and manage the secure uploading of requested documents and data to the appropriate external agencies.
  • Prepare professional, accurate, and concise written correspondence, including formal responses to complex queries and information requests from external authorities.
  • Respond effectively to inquiries from Law Enforcement Agencies, regulators, and government departments both verbally and in writing, ensuring clarity, completeness, and strict adherence to protocol.
  • Facilitate and maintain robust communication channels with internal departments to gather all necessary information and expedite request fulfillment.
  • Manage external communication with Law Enforcement Agencies, regulators, and government departments to provide updates, clarify requirements, and ensure timely submission of information.
  • Ensure the timely provision of all required documents and information to meet strict deadlines imposed by external agencies.
  • Maintain comprehensive records of all requests, communications, and provided documentation in accordance with internal policies and regulatory requirements.
  • Provide backup and ad-hoc support for other regulatory tasks when required.

 

Requirements:

  • High School Diploma or equivalent.
  • Attention to Detail: Meticulous in reviewing documents, processing data, and preparing formal responses to ensure absolute accuracy and compliance, especially with critical external inquiries.
  • Organizational Skills: Highly organized with exceptional ability to manage a high volume of diverse and complex document requests, data, and strict deadlines from multiple external agencies.
  • Communication: Clear, concise, professional, and diplomatic in both written and verbal interactions, adept at communicating with both internal departments and external Law Enforcement Agencies, regulators, and government departments.
  • Proactiveness: Takes initiative in identifying potential issues, streamlining processes for data retrieval and response, and anticipating requirements from external agencies to ensure smooth operations.
  • Adaptability: Highly adaptable to changing regulatory priorities, evolving requests, and new challenges in a dynamic compliance environment.
  • Problem-Solving: Demonstrates a practical and analytical approach to resolving operational issues and complex information gaps related to external inquiries.
